Re: Public Records Act Request - via email 9/29/08 at 11:00 p.m.

Dear Ms. Hepburn:

On September 29, 2008, we received a public records request from you via email at
11:00 p.m. Our understanding of the request you have made is as follows:
An electronic copy of Novell Groupwise Screen showing a list of all email items for the following Groupwise email accounts, from September 1, 2008 to September 20, 2008:
1. William Meggs
2. Mr. Meggs secretary
3. Jackie Fulford
4. Ms. Fulford’s secretary
5. Eddie Evans
6. Mr. Evans secretary
7. Andre Antohia
8. Mr. Antohia’s secretary
9. Jack Campbell
10. Mr. Campbell’s secretary
11. Mary Glover
12. All records custodians for the State Attorney’s Office
13. Front Desk Receptionist
14. IT employee(s) for the State Attorney’s Office

Please be advised that the costs to comply with your request will include $38.40 per hour to search each computer; approximately $50.00 per hour for the attorney to review the records to determine what is exempt from production; and $ .15 per page for copies of documents.
Please note that we have devoted time recently in an effort to comply with other public records requests, attempting to capture and print the “screen” from the Novell Groupwise program. As of this time we have been unsuccessful in doing so. In order to comply with your request, we can search the computers of the individuals named in your request and provide the emails to you after review and redaction of any exempt material. We will be unable to send them electronically and as you have previously requested can make them available for inspection and copying by your attorney or designated agent.
Please let me know if you want us to produce individual emails, or if you want to wait until we can confirm whether or not it is possible to capture the screen information and provide that to you. Our efforts in this regard are ongoing, and we hope to have a definitive answer within the next one to two days.
Further, although items numbered 7 and 8 in your request refer to an “Andre Antohia” we do not have an employee by that name. We do have a Mr. Andrei Antohi. Please confirm that you wish for us to substitute Mr. Antohi in your request.
Upon receipt of your instructions on whether you want individual emails or want to wait to determine if we can provide a screen capture, we will provide you with an estimate and the amount of the deposit required to conduct the requested search.
We look forward to hearing from you.
Please note, the hard copy of this letter is being forwarded via regular U.S. mail to your attorney, Ms. Dias.
Sincerely,
WILLIAM N. MEGGS
STATE ATTORNEY
Jackie Lee Fulford
